How to Write a Cover Letter in 4 Paragraphs (Template and Example)
How to write a cover letter that gets read: a simple 4-paragraph structure, a fill-in template, a full example and tips for tailoring to each job.
A strong cover letter has four short paragraphs: an opening that names the role and why you are excited about it, a middle paragraph that matches two or three of your achievements to the job's key requirements, a paragraph on why this organization specifically, and a close that invites an interview. Keep it under a page, address it to a person where you can, and tailor it for every application.
The 4-paragraph structure
| Paragraph | Purpose |
|---|---|
| 1. Opening | The role, where you saw it, and a one-line hook |
| 2. Evidence | Two or three achievements matched to requirements |
| 3. Fit | Why this organization, specifically |
| 4. Close | Enthusiasm and a request for an interview |

Dear Ms. Mensah,
I'm applying for the Senior Staff Nurse role in Emergency Care at Riverside Hospital. With six years in acute medicine, including two as a shift lead, I'm keen to bring calm leadership to a fast-paced emergency team.
On Ward 7, I lead shifts of up to ten staff across 28 beds and introduced a falls-prevention checklist now used across the department. I've also mentored five newly qualified nurses through preceptorship.
Riverside's investment in its new emergency unit and its focus on staff development stood out to me. I'd value the chance to grow with a team that takes training seriously.
I'd welcome the opportunity to discuss the role. Thank you for considering my application.
Kind regards,
Ama Boateng
