Email Marketing for Gyms and Studios: Get Members In and Keep Them

Email marketing for gyms, yoga and fitness studios: trial and welcome sequences, class reminders, retention emails, win-back for cancelled members, and promotions.

Gyms and studios use email to do two jobs: turn trial visitors into members, and keep new members coming long enough to form a habit. The essential sequences are a trial or welcome sequence, class and session reminders, an early-retention series for the first 60 days, check-ins when attendance drops, a win-back for cancelled members, and campaigns around January, summer and new classes.

The first weeks of a membership are critical. Members who build a routine early tend to stay; members who never get going quietly cancel. Email can be your extra coach.

Trial welcome: get them through the door

People booking a trial are often nervous. Tell them exactly what to bring, where to park, who will greet them and what the class involves. Follow up the same day to invite them to join.

Example

Subject: Your free class is tomorrow at 6 p.m.

Hi [First name],

You're booked into Beginner Strength with Coach Leo tomorrow at 6 p.m.

Bring water, a towel and trainers. Arrive 10 minutes early and Leo will show you around and adjust the session to your level. No experience needed.

See you there.

New member welcome and early retention

Spread these over the first eight weeks:

  1. Welcome: how to book, timetable, app, contact.
  2. Your first week: a suggested schedule.
  3. Meet the coaches.
  4. Nutrition or recovery basics.
  5. Milestone: congratulations on your tenth visit.
  6. Bring a friend.

Attendance check-ins

If your booking system shows a member has not visited in two or three weeks, send a friendly note: "Life gets busy. Want us to book you into a class this week?" Catching drop-off early is easier than winning back a cancellation.

Win-back

For cancelled members, wait a few weeks, then share what is new (classes, coaches, equipment) and offer an easy way back, such as a rejoin offer without a joining fee. See our win-back email guide.

Campaigns

  • New year: the busiest joining season for many gyms.
  • Summer challenges with a clear start date.
  • Bring-a-friend weeks for members.
  • New class launches.

Use the four-email structure in our promotional campaign guide.

Tips

  • Celebrate progress, not just attendance.
  • Avoid shaming language about bodies or weight.
  • Keep it local and personal: coaches' names and real member stories.
  • Combine email with text for same-day reminders.
