How Long Should a Business Proposal Be?
Most small business proposals are 2 to 6 pages. Here is the right length by project size and type, and how to cut a proposal that runs long.
Most small business proposals should be 2 to 6 pages. A small one-off job can fit on one or two pages, a multi-month service contract usually needs 5 to 10, and a formal RFP response follows whatever length the buyer sets. The right length is the shortest one that answers every question the decision maker will have.
Length by project type
| Project | Typical length |
|---|---|
| One-off service (cleaning, photo shoot) | 1 to 3 pages |
| Small project (website, event) | 3 to 6 pages |
| Ongoing service or retainer | 4 to 8 pages |
| Large project (construction, consulting) | 8 to 15 pages |
| Government or institutional RFP | Set by the RFP |
What makes a proposal too long
- Long company history and team bios.
- Every service you offer, not just the ones this client needs.
- Process descriptions the client did not ask about.
- Repeating the same point in the summary, the solution and the conclusion.
- Technical detail that belongs in an appendix.
What makes a proposal too short
- No scope or exclusions, just a price.
- No explanation of how you will solve the problem.
- Nothing the client can show a colleague or boss to justify the decision.
How to cut a long proposal
- Make sure the executive summary works on its own.
- Move specs, drawings and data to an appendix.
- Replace paragraphs with tables for scope, timeline and pricing.
- Keep one or two case studies, the most relevant ones.
- Delete any sentence about you that does not help this client decide.
Ask yourself: if the client reads only the summary and the price page, will they have what they need? If yes, the rest can be as long as it is useful.

Frequently asked questions
Is a one-page proposal enough?
For small, simple jobs, yes, as long as it covers the scope, price, terms and next step. Larger or riskier projects need more detail.
Do longer proposals win more often?
No. Clients reward clarity and relevance, not page count. Extra pages about your company often hurt.
How long should an RFP response be?
As long as the RFP requires. Follow any page limits exactly, because exceeding them can disqualify you.
