Photography Proposal: How to Write One for Weddings, Events and Brands
How to write a photography proposal: shoot details, coverage, deliverables, usage rights, packages, add-ons, deposit and cancellation terms, with examples.
A photography proposal should make the shoot easy to picture and the deliverables impossible to misunderstand. Confirm the date, location and type of shoot, specify coverage hours and photographers, list deliverables and turnaround, state usage rights clearly, then present packages with add-ons and a deposit to secure the date.
Photography clients often contact several photographers at once. A clear, attractive proposal sent quickly is a real advantage.
Two kinds of photography proposal
Personal clients (weddings, portraits, family events) care about the experience, your style and what they will receive. Keep the language warm and visual.
Commercial clients (brands, agencies, businesses) care about the brief, deliverables, timelines and usage rights. Keep it precise.
Proposal structure
- Welcome or summary: the event or brief, in their words.
- Shoot details: date, location, timings, contacts.
- Coverage: hours, photographers, what moments or shots are covered.
- Deliverables: number of edited images, format, gallery, turnaround.
- Usage rights: who can use the images, where and for how long.
- Packages and add-ons.
- Portfolio and testimonials.
- Booking terms: deposit, payment schedule, cancellation, rescheduling.
Deliverables: be specific
| Vague | Specific |
|---|---|
| All the best photos | Minimum 400 edited images |
| Fast delivery | Sneak peek in 72 hours, full gallery in 6 weeks |
| High quality files | Full-resolution JPEGs plus web-sized versions |
| Online gallery | Private gallery with download access for 12 months |
Usage rights for commercial work
This is where many photographers undercharge. Spell out:
- Where the images can be used: website, social media, print, paid advertising, packaging.
- How long: one year, three years, unlimited.
- Where geographically, if relevant.
- Exclusivity: whether you can use the images in your portfolio or license them elsewhere.
Price wider usage higher. A product shot for a website is not the same as one used on a national billboard.
